About Asia Art Archive in America:
Asia Art Archive in America (AAAinA), founded in 2009, is an independently established and operated U.S. 501(c)3 and the first overseas hub of Asia Art Archive (AAA) in Hong Kong.
AAA’s mission is to act as a catalyst for new ideas that enrich our understanding of the world through the collection, creation, and sharing of knowledge around recent art in and of Asia. By collecting, preserving, and making accessible information on contemporary art from and of Asia, AAAinA facilitates public understanding and specialized research, instigates dialogue and critical thinking, and seeks to raise awareness of and support for the activities of Asia Art Archive in Hong Kong.
To achieve this goal, AAAinA maintains a reading room in Brooklyn Heights which is open to the public free of charge and comprises over 5000 monographs, exhibition catalogs, reference books, periodicals, and audio-visual materials. AAAinA also organizes a regular program of talks, screenings, workshops, participatory projects, and panels with artists, curators, critics, and scholars in the field.
Position duties and responsibilities:
Reporting directly to the President of AAAinA and working collaboratively with the Director of Programs and Collection and AAA staff in NY and Hong Kong, the Manager of Operations and Development will be an integral part of the AAAinA team and a crucial thought partner ensuring that AAAinA offers the most relevant and the highest quality programming and collections in furtherance of AAAinA’s mission. They will work with generosity, integrity, curiosity, creativity, and respect, with a primary focus as follows:
- General Operations: ensure the effective and efficient administration of all aspects of AAAinA’s activities, including management of all daily office and reading room operations and coordinating all staffing requirements, with the Director of Programs and Collections. Support the President in administrative tasks, such as the preparation of external presentations, correspondence, and the organization of the semi-annual Board meetings and all related materials. Support program staff in the development of internal/external communications including on the website, newsletters, program announcements and social media posts. Ensure all external communications are clear, well written and properly edited.
- With the support of outside legal, accounting and professional bookkeeping services, verify all financial transactions, including payments to vendors and employees and recurring subscriptions are properly executed. With the support of AAAinA’s President and Director of Programs and Collections, develop and monitor annual operating budgets, including programming budgets and ensure compliance with legal requirements and coordinate the annual tax filings in conjunction with the outside bookkeeper and accountant.
- Development: support development activities, including award management for 3-4 government grants; patron cultivation and retention through an annual year-end appeal campaign and fundraiser, as well as 4-6 patron events a year. Be a proud, and positive representative of AAAinA at community and cultural events which you are encouraged to attend; and work at all times to help build and strengthen our community of individual and institutional friends and supporters.
- 3-5 years of demonstrated experience in nonprofit administration.
- Serious interest in contemporary art and Asia and a desire to learn and achieve excellent results.
- Excellent interpersonal and communication skills, including the ability to be consistently gracious, diplomatic, and professional with all levels and locations of AAAinA staff, Board members, donors, visitors, audience members, speakers, and other counterparts and collaborators at organizations outside AAA.
- Excellent organizational skills and attention to detail and quality of results.
- Experience with grants, both grant writing and awarded grant management, is preferred.
- Ability to work under pressure, multi-task, prioritize, set goals and meet them in a timely manner.
- A self-starter able to work independently with minimal supervision.
- Fluent written and spoken English (familiarity and fluency with other Asian languages is a plus).
- Strong computer proficiency, including Microsoft Office Suite (Excel, PowerPoint, Word), Adobe Creative Suite, and GSuite. Experience with Quickbooks or other accounting software is a plus.
- Advanced degree in a related field preferred; Asian art history, library science, business/cultural management.
- The Manager of Operations and Development is an in-person, full-time preferred position (with occasional weekends and evenings). A part-time four day a week position is negotiable.
- Must be eligible to work legally in the United States.
- Start date ideally by early July.
Salary range: $55,000-60,000, commensurate with qualifications and experience.
